What is free
The whole cash book is free to use, with no account and no time limit:
- entering your organisation's name, financial year and opening balances;
- adding, changing and deleting entries;
- the cash and bank balance after every entry;
- totals by category, total receipts and total payments;
- opening and closing balances for cash, bank and both together;
- the "Does it add up?" check;
- changing the list of categories.
The free version shows these totals on screen only. It has no print layout and no export.
What the $12 licence key unlocks
A licence key costs $12, paid once. It unlocks two things and nothing else:
- The print layout: a printable annual Receipts and Payments report made from your cash book, on A4 or US Letter paper, with signature lines for the treasurer and the independent examiner, and the full list of entries if you want it included.
- CSV export: one file of your entries and one file of your summary, to open in a spreadsheet or to keep as a copy.
The key does not add other features, does not include support from an accountant, and does not make the report meet any particular regulator's format.
Keys are sold through Gumroad. Step 6 of the cash book page says where to get one and is where you type it in.
Refunds
Try the free version first: it has every calculation. Sales are final, except where the law gives you a right to a refund.
Your data
- Your figures are processed in your browser, on your own device. Nothing you type in the cash book is sent to us or to anyone else.
- The cash book is saved in your browser's local storage (localStorage) on that device, so it is still there when you come back to the page in the same browser.
- It is not on your other devices. It is lost if you clear your browser's saved website data, and a private window does not keep it.
- The "Delete all my data" button on the cash book page removes it from the browser.
- If you type a licence key, the key is sent to this website only, to confirm it. The key is not saved on your device, so you type it again each time you come back.
- There is no account, no password and no sign-up.
Because your figures exist only in your browser, keep your paper receipts and bank statements as usual. If you have a key, save a CSV copy from time to time.
Who built it
The tool, these guide pages and the example figures were built by Augeo's automated software agents. No accountant designed or approved it, and it is not professional work.
What was verified, and how: the sums in the tool (amounts held as whole cents, running balances, totals by category, opening and closing balances, and the CSV format) are asserted by an automated test script that runs each time the tool is built. The sample year on the worked example page uses the figures from that script.
The tool cannot know your organisation's rules. Whether a receipts and payments account is acceptable for your organisation, and what must appear in it, is for you to check.
